Approvals

You can manage all approvals from requests and changes that are awaiting your action. To access approvals, go to Menu  and tap Approvals. The approval list view shows all approvals that are awaiting your approval action. Each approval in the list view is displayed as a card. The approval card shows information based on the module of the approval. For request approvals, the card shows request ID, subject, created by, create date and time. For change approvals, the card shows change ID, subject, created by, create date and time.

 


 

You can distinguish approvals based on the label added to the card.

 

Filter Approvals 

To filter out approvals in the list view,

  1. Tap the filter drop-down on the top-left.

  2. Choose your preferred filter: All approvals, Request approvals, or Change approvals.

 

 

Approval Details  

To view details of approval, tap your preferred approval card. In the approval details screen, you can view all the details relevant to the approval including the details, attachments, and conversations from the parent record (request or change).

 



You can view attachments and conversations from the parent record. For attachments, tap Attachments on the top-right. For conversations, tap Conversations  on the bottom-right.

The attachments icon always appears with a badge showing the number of attachments.

Approval Action 

To take an action on approval,

  1. Tap Take action.

  2. Provide relevant comments as required.

  3. Finally, choose Approve or Reject

 

 

No Action Required label will be displayed on the approval request card if the approval condition is configured as Anyone to approve and an approver has already taken action for that approval request.

 

 

You can still record your action by tapping on the approval card or by clicking Take action on the approval details screen. However, your approval action will not have any effect on the approval process.

                            

 

Approval Delegation

Approval delegation allows you to assign a user on your behalf to approve a request. After delegating the request, you cannot approve/reject it. However, you can revert the delegation and take action if the approval is pending.

Currently, request and change approvals can only be delegated.
For Changes, you cannot delegate or revoke approvals for the crossed stages.

Delegated approvals will be displayed with the name of the backup approver on the My Pending Approvals list. You can remove delegated approvals from the list by clicking on the delegated approvals card.

You can delegate an approval from the request details screen.

  1. Tap Options  on the bottom-right of the screen.

  1. Tap Approvals.

  1. Tap .

  1. Select a user to delegate.

  1. Tap Yes to confirm your action. The approval is delegated to the selected user.

 

 

You can revoke the delegation if the approval is pending. To revoke delegation, tap on the approvals card.
