In a user self-audit, the users of assets included in the audit process can log ownership of their assets through the requester portal. This self-audit process does not require physical verification by a technician.

Audit Assets through the Requester Portal
To start audit, the SDAdmin, or SDAssetAuditAdmin must create an audit and define the criteria for selecting the assets to be audited.
Go to Assets > Asset Audit > New Asset Audit.
On the pop-up, enter the asset name.
Select User Self Audit for Audit Type.
Enter a description of the asset.
Choose the planned start and end dates of the audit.
Click Save.

An audit will be created.
On the asset audit list view, click the newly created audit to open the asset audit details page.
In the Audit Details tab, click Add Conditions under Asset Conditions.
In the pop-up, select the product type. You can either select auditing of all product types or only selected product types.
All Product Types: Choose this option to select all product types for the audit.
Additionally, you can also use advanced criteria to set conditions to further filter the assets to be audited.
Enable Use Advanced Criteria.
Choose the columns, operator, and the value.
Use the
icons to add/remove multiple criteria.
Switch between AND/OR conditions for multiple criteria.
Click the
icon and drag the criteria horizontally to add it as a sub-criteria to the preceding one. You can also use this icon to reorder the criteria.
Click Save after you have configured the conditions.

To edit the asset conditions, click
against the section.
After configuring the asset conditions, all assets selected for auditing will be listed under the Assets In Scope tab.

You can view details such as asset type, assigned user, asset state, and associated site.
Before starting the audit, you can modify asset conditions as needed. You can initiate the audit by clicking Start Audit at the top of the details page.
The status of the audit will move to In Progress and will be updated in the audit details page.
All assets to be audited will be listed in the Pending tab.

Users can confirm the ownership of their assets through the requester portal.
Log in to the requester portal.
On the home page, click Audit Assets displayed on the My Assets widget. A slider panel will open. Alternatively, requesters and technicians can also access the Audit Assets option under Quick Actions
.

Click Take Action on the asset you want to audit.

Record your response as either you have this asset or you do not have this asset by using the radio buttons.
If you acknowledge not having the asset, you can provide additional comments in the text box displayed.
You can also attach an image (JPEG, PNG), or GIF while auditing the asset. Only one file can be attached.
Click Save to log your response.

The users' responses will be captured alongside the asset in the respective audit tab.
Alternatively, users can also audit their assets from the ServiceDesk Plus Cloud Mobile App under Home.

After the users have self-audited the assets, you can close the audit by clicking the Close Audit option on the asset audit details page.
The status of the audit will move to Under Review and will be updated in the audit details page.
Assets listed in the Pending tab that were yet to be audited by users will move to the Not Responded tab.

Click
against the asset and choose between Mark as Audited or Mark as Missing to log the status of the asset. You can also mark multiple assets as audited/missing by selecting them using the check boxes and clicking the options displayed on top of the list view.

Assets marked as audited will be moved to the Audited tab, and assets marked as missing will be moved to the Missing tab.
When the asset is marked as audited, you can fill out any comments and add attachments in the pop-up displayed before saving the response.

When the asset is marked as missing, fill out the following details in the pop-up.
Reason: Select the reason the asset is missing with the user.
Comments: Fill out comments regarding the asset, if any.

The information recorded for the asset under the respective audit tab.
Click
against an audited asset to move it to Missing assets. Provide the reason and enter your comments in the pop-up.
To mark multiple assets as missing, select them using the check boxes and click Mark as Missing.

Click
against a missing asset to move it to the Audited tab or modify its state.
When auditing an asset, you can fill out your comments and add attachments, if any, in the pop-up displayed.

When modifying an asset's state, fill out the following details in the pop-up:
Select the asset state from the drop-down.
If the asset state is In Use, select the assigned user of the asset and their department.
You can also choose an alternative asset associated to the user to auto-populate the Assigned User and Department fields.
Choose the Site of the asset.
This Site field is pre-populated and cannot be edited if Retain Associated Asset/User/Department’s Site option is selected. This option maps the asset to the newly assigned user's site. However, disabling this option will make the Site field editable, allowing you to map the asset to any site. Learn more about assigning assets to site.

After all necessary updates have been made, finalize the audit by clicking End Audit on the details page. The audit status will then update to Ended.
